DeSantis Homes is looking for a responsible, enthusiastic Office Assistant to join our team to perform a variety of administrative and clerical tasks. This is an entry level position with growth potential.  In this role, you will perform administrative and office support duties for multiple departments. Responsibilities will include fielding telephone calls, receiving and directing visitors, filing and research, to name a few.

Essential Duties & Responsibilities Include:

Welcome and greet clients and office guests

Produce and distribute correspondence memos, letters, faxes and forms

Answer phones in a professional manner and direct calls to appropriate persons and/or take detailed messages

Manage communication of information in and out of the office

Type out correspondence letters, emails, memos, etc. (paper and electronic)

Prepare outgoing mail and packages

Monitor and maintain office equipment; repair or replace malfunctioning equipment when required

Monitor office supplies; order and re-stock as needed

Assist in the preparation of regularly scheduled reports

Co-ordinate monthly fire inspection and utility notifications

Arrange for staff Safety Training as needed

Maintain positive and professional staff, client and homeowner relationships

Ensure common areas are kept clean and organized at all times (Reception, Boardroom, Kitchen, etc.)

Required Skills & Experience of Administrative Assistant:

High school diploma or GED equivalent required

1-3 years of administrative/office administration experience (construction environment preferred)

Excellent time management skills and ability to multitask and prioritize work

Attention to detail and strong problem-solving skills

Excellent written and verbal communication skills

Fast, proficient, and accurate typist

Extensive knowledge of Microsoft Suite and other administrative programs

Self-starter who works well independently

Ability to prioritize given tasks and work efficiently towards completing them

Strong problem solver and analytical thinker

Professional demeanor
